The Collections report shows outstanding client balances and includes an optional date parameter that reports balances "as of" any date in the past. The report can be grouped by client, category, location, payer, program, or staff.
You will first need to assign permission for this report by editing the applicable roles. If you are not familiar with editing staff roles, please review this support article: Change Permissions (Edit a Role).
|1||Format:||Select the report format, options include: HTML, Excel, and CSV.|
|2||Group by:||Select the option by which the reported records are grouped. Use the "Payer" option only to retrieve unallocated information.|
|3||Invoice on or before:||
If this date field is populated, ALL aging categories will be "as of" the entered date.
|4||Invoice on or after:||The date entered here is the earliest invoice date that will be included in the report.|
|5||Payments on or before:||The date entered here is the latest payment date included in the report.|
|6||Discounts:||Select to include or exclude discounts in the calculations.|
|7||Private Pay:||Select to include or exclude private pay from the report.|
|8||Include these payers:||Select the payer or payers (ctrl + click to select multiple payers) to include in the report. Select [All] to include all payers.|
|9||Include these locations (DOS):||Select the location or locations (ctrl + click to select multiple payers) to include. Select [All] to include all locations.|
|10||Staff:||Select on or more staff (ctrl + click to select multiple staff). Only invoice balances associated with the selected staff are included in the report.|
Once the desired parameters are selected, click Display. If the HTML format was selected, a preview displays. If the Excel or CSV format was selected, a file is saved to your Downloads folder.
Note: The Collections Report (1031) totals will only match the net receivables in the accounting module for a particular month IF both the "Invoices on or before" and the "Payments on or before" dates are the last day of that month. For example, the totals on a Collections Report with "Invoices on or before" of 04/30/2023 and "Payments on or before" of 04/30/2023, will match the accounting module net receivable balance for April 2023.
Read the Results
- The report detail (parameter) selections are listed in the header.
- The Client's name followed by the client's code are listed in the Client column.
- A Total is provided for each row.
- Note: Zero balance rows are filtered out of the report.
- Grand Totals for each column are listed at the end of the report.
