Client Rates are used when a client has a private pay payer and will be charged a rate that is unique to the client, a rate that is outside of the typical amount you charge for the service.
Client Rate
Client rates are to be set up for a Private Pay payer type and must first be set up in the Payers module, then further set up for each specific client in the Clients module.
Payer Setup
- Go to Payers module > Rates tab > Rates sub-tab.
- Change Rate Type to Client.
- Click Save.
Client Setup
- Go to Clients Module > Payers tab.
- From here, you will enter the rate in one of two places:

Enrollment sub-tab > Rate/Unit field.
- Entering a rate here indicates that no matter which service code is provided, the client will be charged a flat rate for each unit of the code. If the charge will vary based on the service code, leave this rate field at 0.00 and instead set up the rates in the Authorizations sub-tab.

Authorizations sub-tab > Rate/Unit field.
- Enter an authorization for the desired code(s), date range, units, etc. and enter the rate that will be charged based on the service code(s) listed on the authorization.
Note: In the Clients module > Payers tab > Authorizations subtab > the Code picklist is designed to display codes with rates that are entered in the payer's Rates tab. Since most client rate payers don't have rates entered in the Payers module > Rates tab, the Codes picklist shows up blank. In order to view the entire list of codes, the blue "Show all codes" link needs to be selected.
- Enter an authorization for the desired code(s), date range, units, etc. and enter the rate that will be charged based on the service code(s) listed on the authorization.

Enrollment sub-tab > Rate/Unit field.
- Click Save.
NOTE: The codes that will appear in the Time module > Add > Codes drop-down menu will reflect only the codes that have been assigned to the client on the authorization. If authorizations are not set up, the staff will need to select the code picklist to select the desired service code.
