Overview
This article will explain more in-depth how to add a location to the Locations Module.
Add a Location
IMPORTANT: If you are adding a location to an existing database, please reference Add A New Location.
- Go to the Locations Module.
- Click Add.
- Name: This will be the name of the location as it appears in Procentive and as the Service Facility Location on claims.
- Billing Name: Only enter if this location has a unique name related to billing purposes and it is registered with payers.
- Site ID (optional): Site ID's are not required, but can be used if you have a unique ID's/numbering system, such as location 100, 200, 300.
- Enter an ID if the location has a unique ID number. This will only appear in Procentive.
- Address/City/State: Enter the location's address information.
- Zip: Enter the location's 9 digit zip code.
- Clicking the pick list width="16px" height="16px"> after the zip code will auto-populate the City, State, and County fields.
- Phone: Enter the location's phone number.
- County: Select the appropriate county. Options will appear in the drop down once a state has been entered.
- Appointment color: Click select color to choose a color.
- This color will be used to identify appointments at this location in the Appointments Module.
- Availability color: Click select color to choose a color.
- This color will be used to identify a staff's availability at this location in the Appointments Module.
- Click on the Billing tab.
- NPI: If the location has it's own unique billing NPI, enter it here.
- If this location has the same billing NPI as your Setting Module> Billing tab, you do not need to enter it.
- Tax ID: If the location has it's own unique billing Tax ID, enter here.
- If this location has the same tax ID as your Setting Module> Billing tab, you do not need to enter it.
- Tax ID Type: If you enter a Tax ID above, select the applicable option.
- HIPAA Taxonomy: If the location has it's own unique billing NPI, enter the taxonomy code associated to the NPI entered.
- Billing Location: Leave at [in settings] unless this location has a unique billing location that is different from your default billing location in the Settings module > Billing tab.
- Service Location: Leave at [in time].
- MN I-SATS: Enter ID if applicable.
- CLIA Number: Enter ID if applicable.
- NPI: If the location has it's own unique billing NPI, enter it here.
- Click Save.
Does the Location Have a Unique Billing Address?
If the location has it's own unique billing address that is needed on claims for billing purposes based on your registration with payers, please follow these next steps below.
- Click on the Billing Address tab.
- Mailing Address/City/State/Zip (9-digit): Enter this locations unique billing address, if different than the default billing address setup in the Settings module > Billing tab.
Should This Location's Payment Be Sent to a PO Box?
If the location's payments should be sent to a PO Box or another address other than your billing address, proceed to the steps below.
- Click on the Pay-To Address tab:
- Pay-To Name: Enter unique pay-to name.
- Pay-To Address/City/State/Zip (9-digit): Enter unique pay-to address, such as a PO Box.
Accounting tab
Please leave both of these fields blank.
NOTE: If a Location is made inactive before all service lines for that location are billed, only staff with this permission in Time > See all locations will see that location in the drop down menu.
