During your transition to Procentive, you are able to import your clients using Procentive's Client Import feature. This feature allows you to transfer basic client information. This article will provide you with the information you need to complete the import.
Complete the Spreadsheet
You will need to copy and paste your data into the provided Excel spreadsheet, then you can import that data into Procentive.
- Download this Excel spreadsheet: Client Import Spreadsheet
- Open the Excel spreadsheet.
- Complete the data for each column you will be using.
- Not all columns need to be completed, only the ones desired.
Important: Click on the column header for a field description. If there is a required format for a column, it will be listed under the column header. The required format for these columns is listed below - Column header formats.
- Select and Copy the data entered in the columns. Do not copy the column headers.
- Open a new blank spreadsheet in Excel.
- Paste the copied fields into the new spreadsheet.
Important: Save the new spreadsheet using the file type Text (Tab delimited).
Column header formats:
- Client date of birth: Can be either in U.S. format (m/d/y) or ISO format (yyy-mm-dd).
- Inactive Status: 1 = inactive, 0 = active
- Call at home: Must be a number – 0 = do not call at home, 1 = call at home
- Call at work, mobile & other: Must be a number – 0 = do not call, 1 = call
- Sex: Must be a number – 0 = female, 1 = male, 2 = unknown
- Employment Status: Must be a number 0 = full time, 1 = part time, 2 = not employed, 3 = self employed, 4 = retired, 5 = active duty military, 6 = unknown.
- Marital Status: Must be a number – 0= single, 1= married, 2 = divorced, 3 = widowed, 4 = partner, 5 =unknown, 6 = separated
- Release of information Waver: Must be a number- 0 = no release, 1 = signed release on file
- Privacy Practice Notice: Must be a number- 0 = has not signed, 1 = signed.
- Notes – Misc notes about client (max 1000 characters)
- Race – 1 = white, 2 = black, 3 = Native American, 4 = Asian, 5 = Pacific Islander, 6 = Hispanic, 7 = Other Race
- Income Type – 0 = Monthly, 1 = yearly
Import Into Clients Module
- Go to the Clients Module.
- Click Import in the upper right.
- An Import window will open with a list of available fields; these are the column headers from the spreadsheet.

NOTE: If you do not see the Import option, please check your permissions.
- Click on each field that was not included on the spreadsheet and check Do not use.
- This will place an inactive status after the field.

- For each field that was included on the spreadsheet, click to highlight and place them in the order they were entered on the spreadsheet using the First, Up, Down, and Last buttons.
- Click Choose File to upload the Text (Tab delimited) file type and click Next.
- Verify that each field is showing the correct data.
- If data is appearing in the incorrect column, click Back.
- If data is correct, click Next.
- A new window will appear to show how many clients were successfully imported. Click Done.

- Click Clients Module to refresh and review the client information.
Important: There are several key pieces of information that cannot be uploaded; these fields will need to be completed following the import.

- Payer
- Programs (if applicable)
