Overview
Learn how to create a refund against a client payment. This article is for agencies that are partnering with Vantage Payment Processing. If you are partnering with CMS Payments, please see the article Create a Refund.
Assign Permission
The following permissions are needed. If you are not familiar with editing staff roles, please review this support article: Change Permissions.
Refund a Client’s Electronic Payment

Click on the Refunds/NSF module.

Click Add.
- The Add Refund window opens.

Enter or select an option for the following fields:
Refund to | Select Clients. |
Client | Click the pick list icon ![]() |
Reference | Optional - one option is to enter the reference of the original payment and add "CR" to the end (i.e., ABC123CR). |
Note | Optional - add a note referencing the error or reason for refund (i.e., transaction was processed twice). |
Type | Select Refund. |
Date Posted | Enter the date posted - default is today's date. |

Find the appropriate reference for the original payment and enter the amount of the refund in the Refund column.
Refund amount must be greater than $1 to process.

Click the process electronic link next to the amount.

If the refund is successfully processed, the Refund Successful message is displayed.

Click Close.

Click the Save button to record the refund in Procentive.
Important: You must click Save to record the refund in Procentive.
NOTE:
- The Refunds Report 1450 is available to review processed refunds and can be found in the Reports module.
- All refunds entered in the Refunds/NSF Module appear in the Accounting Module at the bottom of the Trial Balance Report.
