If a staff attempts to save a service line with the same client, staff, code and date, Procentive identifies this as a duplicate service line. You have the ability to decide how your agency wants to handle duplicate service lines. The article will explain your options, as well as where you can change these settings. You do need to have permission to make these changes for your agency.
Where to Find and Change These Settings
- Click on the Settings module.
- Click on the Setup tab.
- Locate the section titled Duplicate records.
- For Allow/Do not allow duplicate records, you have three choices. If the system sees a service line with the same client, staff, code, and date you can:
- Do not allow means that the system will provide a warning and will not allow the staff to save the duplicate line.
- Allow means the system will provide a warning but allow the user to save the duplicate line by choosing Override.
- Allow without warning means the system will save the service line without warning the user of the duplication.
- If you choose Allow, an additional option will appear: Base duplicate records on start and end time:
- Choosing Yes means the system will warn the user when it finds a service line for the same client, date and time (but not code). Essentially, this setting means that Procentive is looking to make sure the client has not been double-booked. If the system sees that the same client is receiving services at the same time, a warning will appear. After the warning, the user can change the start and/or end time and re-save, OR they can click the box for Override Overlap in the Time Add Window and then re-save the service line.
- Choosing No means the system will warn the user when it finds a service line for the same client, staff, code and date. Start and end times are not relevant. When the system sees the duplicate entry, a warning will appear. After the warning, the user can fix the duplication by changing one of the parameters of the service line, OR they can click the box for Override Duplicate and then re-save the service line.
- For Allow/Do not allow duplicate records, you have three choices. If the system sees a service line with the same client, staff, code, and date you can:
- Make your selections.
- Scroll down to the bottom of the screen.
- Click Change.
