Overview
When a staff is no longer employed by your agency, it is important to remove their access to Procentive immediately. This article will explain the recommended steps to take when a staff member leaves your agency.
NOTE: Before inactivating this staff, if they have any future appointments in the calendar with clients, these appointments should be changed to a different staff.
Inactivate a Staff
Step 1:
- Go to the Staff Module.
- Double-click on the staff line
- The Change Staff window will open.
- Click the Role tab.
- Change Role drop-down to None.
- Click Save.
Step 2:
Review the staff's clinical documentation in the Clinical/Charting Module and service lines in the Time Module to be sure they've been completed.

- Service lines do not need to be billed out prior to inactivating a staff.
- Payments can still be applied to services performed by inactive staff.
- Staff receiving commissions will still appear on the commissions report in the Commissions Module, even when the staff is inactive.
Step 3:
- Return to the Staff Module.
- Double-click on the staff line
- The Change Staff window will open.
- In the Staff tab, enter the staff's Termination Date (optional).
- In the Staff tab, change Active drop down to Inactive.
- A new field called Date of Inactivation will appear.
- Enter the date the staff's profile was made inactive in Procentive (optional).
- Enter the date the staff's profile was made inactive in Procentive (optional).
- A new field called Date of Inactivation will appear.
- Click Save.
Step 5:
Once all billing is done for this staff, remove the commission rate from the Staff Module > Rates tab to prevent this staff from showing up in the Commissions Module should a takeback occur for one of their service lines.
