Use Group Video Sessions with Clients' Family Members & Staff (Procentive)

  NOTE: In order to use group video sessions, you will need to have a group video session subscription.  If you are unsure of the type of subscription you have, contact the champion at your agency.

In addition to using group video sessions with clients, clients' family members and/or additional staff can be included in a group session.  Group video sessions can also be used for staff-only meetings.

Add a Family Member

To include a client's family member(s) in a video session who are not an existing client of your agency:

• Set up a client record in the Clients module for each family member, making sure to enter their primary email address in the Phone/Email tab. You can then use the Group tab of the appointment to include them in the video session. The system will automatically send them an email invitation to the session with the link to the video session.

Add a Staff Member

To add additional staff to the appointment, follow these steps.

1. Double-click on the appointment to open it > Staff Meeting tab.
   • If you do not see any staff listed here, choose [All Staff For This Location]. 
2. Click on the staff you want to add to the appointment
3. Click .
   • If you want to add all the staff listed, click .
4. The system will send them a notification that they have been invited to the session. The staff will also see this appointment on their calendar in the Appointments module and will be able to use the Join Video Session button in the side panel to join.

Staff-Only Video Session

To schedule a Group Staff Video Sessions, follow these steps.

1. Go to the Appointments module and double click to open a new appointment.
2. Go to the Staff Meeting tab. 
   • If you do not see any staff listed here, choose [All Staff For This Location]. 
3. Click on the staff you want to add to the appointment
4. Click .
   • If you want to add all the staff listed, click .
5. The system will send them a notification that they have been invited to the session. The staff will also see this appointment on their calendar in the Appointments module and will be able to use the Join Video Session button in the side panel to join.
