ePrescribe Onboarding for Your Agency

Once you receive confirmation that your agency is set up for ePrescribe with NewCrop, a Champion will need to perform the following to complete your onboarding.

There are 3 modules in Procentive that need to be reviewed to be sure the required information is complete in order for staff to use ePrescribe: 

1. Staff module - required to set up any staff needing to use ePrescribe.
2. Locations module - required only for initial setup.
3. Settings module - required only for initial setup.

Staff Module

1. Go to Staff module > Role tab > Edit Roles.
   
   
   
   
2. In the search for modules field, enter eprescribe.
3. Make sure that the correct Role is selected on the left, and check the box for ePrescribe module.
4. Click Change Role. 
5. Repeat steps 3 and 4 for each Champion role that will be setting up new eprescribe users and any role that needs access to the ePrescribe module.
6. Log out of Procentive.
   

   NOTE: The ePrescribe module will be present the next time staff with these roles log into Procentive.

7. Log into Procentive.
8. Go to the Staff module.
9. For each staff who will need access to ePrescribe, go to the Role tab > ePrescribe Role.
   
   
10. From the drop-down menu, select the appropriate ePrescribe Role:
    • None
    • Licensed Prescriber - Fully licensed to prescribe; ie Doctor, Physician Assistant or Nurse Practitioner.
    • Midlevel Prescriber - Role is applicable where state law requires the prescriber to be supervised; ie Physician Assistant or Nurse Practitioner.
    • Supervising Doctor - A Doctor who does not see clients but supervises Midlevel Prescribers.
    • Nurse - Prescribe medications on behalf of a prescriber.
    • Admin - Perform administrative tasks and pend prescriptions.
11. Review the Locations tab.
    • Every staff using ePrescribe MUST have a Default location selected.
      
      
12. If the staff is a Prescriber or Supervising Doctor, review the Billing tab to ensure their Individual NPI number is entered in the National Provider ID field.
13. If the staff is a Prescriber or Supervising Doctor who will be prescribing controlled substances, review the Staff tab to ensure their DEA number is entered in the DEA Number field.
14. Click Save.

NOTE: Once the migration to NewCrop is complete, moving forward, when a new prescriber is added to your agency, please send a ticket to the Procentive Care Team letting them know the new prescriber has been added.

Locations Module

1. In the Locations module, in the Location tab, for each location, ensure that the Location Phone Number, Contact Phone Number for Pharmacy Use, and Primary Fax Number for Pharmacy Use are entered. 
   
   
   
   
   • These are required fields.
     

     NOTE: If you do not have any locations in the Locations module, Procentive will create one for you called Default Location. Please send a ticket to the Procentive Care Team to work with you on this. Once created, you can update the name if desired.  You will now need to enter the Phone number, Contact Phone Number for Pharmacy Use and a Primary Fax Number for Pharmacy Use.

2. Click Save.

Settings Module

1. Go to Settings > ePrescribe tab.
   
   
   
   
2. The Agency Name, Main Office Address, City, State, Zip and Primary Phone Number will auto-populate from the Setup tab.
3. Enter the following information.
   • In the Country field, enter US.
   • In the Primary Fax Number field, enter the number you wish to use or, if you use the Faxes module, select the appropriate fax number from the drop-down menu.
4. Click Change.

IMPORTANT: After the initial setup, if the information in the Settings > Setup tab is changed, the ePrescribe tab will need to be updated separately.

Next Steps

For a Licensed Prescriber or a Midlevel Prescriber, they will now need to go through one of the following registration processes:

Sign up for eRx Only with NewCrop

Sign up for eRx with EPCS with NewCrop

For all other staff, simply have them:

1. Go to the ePrescribe module.
2. Search for a client by first or last name in the Client field or click the picklist icon to pull up a list of clients to choose from > click the client once to highlight the line > click OK.
3. Click Connect.
