This article will show you how to add or remove a bed reservation, as well as view the reservation details.
- Reservations may only be entered beginning with the current date or a future date.
- If the details of a reservation need to be changed, such as the anticipated end date or length of stay, the original reservation will need to be removed and a new reservation created with the new information.

Add a Bed Reservation
The system allows more than one bed to be reserved for an individual to support circumstances where the client's actual needs will not be known until they are on site, but you wish to have a bed ready.
The system will allow a reservation to exist on a bed from the entered Start Date up until the reservation End Date. When the individual is onsite and ready to occupy the bed, from the Census tab you will follow these steps to Assign Bed on the reserved bed.
- Locate the bed you would like to reserve.
- Click the three dots on the right side of the bed record.
- Click Reserve Bed.
- From the Occupant drop-down menu, select the appropriate Occupant Type.
- Begin typing the Client name or number in the Client field. Once three or more characters have been entered, the system will display a list of matching clients. Select the appropriate client.
- If the Occupant Type is Dependent, select the client who the dependent is associated with.
- If the Occupant Type is Dependent, select the client who the dependent is associated with.
- If the Occupant Type is Dependent, enter the Dependent Name.
- Enter the Start Date of the reservation. This is the date that you anticipate the individual will begin needing the bed.
- Enter the End Date of the reservation. This is the date that you anticipate the individual will vacate and no longer need the bed.
- Alternatively, enter the number of days needed in Length Of Stay, and the system will then populate the End Date.
- If End Date was entered, Length Of Stay will auto-populate with the number of days based on the Start and End dates.
- Click Save.
- The reservation will display with the client or dependent's name, with the client's name in parenthesis, and denoted as Reserved, along with the dates of the reservation. The bed icon retains the unoccupied appearance until an individual is actually 'Assigned' to the bed.
View Occupant Details
- Locate the bed of which you would like to view the occupant details.
- Click on the Occupant's name.
- The details of the reservation will display.
- Click on the blue hyperlink in the details overlay for any client to open the client's record in the Client Module.
Remove a Bed Reservation
Bed Reservations should be removed, if it is determined the individual will not require the bed so that it can be made available for reservation or assignment to another individual. When the individual is onsite and needing to occupy the bed which had been reserved for them, follow the steps to Assign Bed.
- Locate the bed you would like to remove the reservation from.
- Click the three dots on the right side of that bed.
- Click Remove Reservation.
- A confirmation will pop up.
- Click Yes, Remove Reservation.
